Several times you have heard of people talking about data and information, and in many situations they are using the terms in the wrong context. Take this opportunity to define the following terms: data, information, and knowledge.

If you consider excel not to be database management software, then my argument is to agree with the comment “you do not need database management software to create a database environment.”
When googling “create a database in….” the following three options came up
MySQL
Access
Excel
What this tells me is simple. Excel is the third largest search in terms of finding software in which to create data bases. With this being said I would not consider Excel to be a database system. So in essence consumers are using a non “database management software” to create a database environment.
For those that are interested in using excel for simple databases, I came across the following video link titled Excel Magic Trick #184: Setup Database in Excel. http://www.youtube.com/watch?v=WtcUYXVic-4
The video shows how to create a “list type” from which reports can be generated. The benefits of this database system included the following: low set up time, low cost, and ease of use. Since excel type software can be used on basic handheld devices this system can create a mobile database as well.
I am not saying that Excel provides the most robust databases, but for smaller sets of data or more basic tasks the video example provides proof of the feasibility.

The database schemata you wish to use will determine if you need database management software. MySQL databases, based on a popular open-source relational database model, can be created and edited with a simple text editor. MSSQL, a database model created by Microsoft, requires software included with their SQL Server product line to manage the database environment.

On the Other: Software May Make Administration Easier

Using database management software to maintain a database environment may increase the overall productivity of your databases. Most companies deploy database management software to end users. For example, in the case of MySQL databases used in a web environment, phpMyAdmin is a popular web-based database management software suite often employed in the administration of MySQL databases.

Bottom Line

Some database models, like MySQL, does not require any specialized software to manage the database environment. However, using database management software may increase overall productivity and allow easier administration.

You can use a database without using database management system (DBMS), but why would you want to. The process is difficult, tedious, and the costs of database management systems are significantly cheaper than they used to be. There are a few reasons you might choose not to use a DBMS.
A DBMS offers data independence and efficient access. The DBMS can access information from very large files, it can allow for a wide variety of users to pull disassociated information from a single file or to make complex correlations between several files. A DBMS can also provide access controls that will protect the underlying database. A DBMS can run concurrent sessions utilizing the same files. A DBMS keeps transactions current as soon as they are complete, so in the event of a crash the database can be restored to a more current state. [i] If these things are of little or no value to your business it may not be worth the investment in the DBMS. Additionally, if your database and applications are overly simple and it is unlikely that your needs will change, or multiple user access to data is unnecessary and also unlikely to change; then you may you may have little need of a DBMS. [ii]
Another option would be to write everything onto a plain file, and use a special byte-sequence to mark the end of each post. Cryptography can be completed using software like bitwise XORing, it is a simple encryption procedure. Bitwise XOR the data-file once and you get the ciphertext-file, repeat the procedure on the ciphertext and get back your original file. [iii] It is inelegant, but will serve the purpose. The downfall of such a system is that it requires a lot of processing space and the data is exposed each time it is accessed. Without a DBMS, the programmer must reserve space for the full structure of the record in the program. Any change in data structure requires changing all application programs. [iv] This takes a lot of computer space and could involve significant personnel time.
So a DBMS can offer you great efficiencies of time, better protection of data, and multi- user access. These can create great savings of time and labor which would ultimately translate to greater productivity and higher profit. It is a system that may be well worth the investment.
